Terms & Conditions for the New York Tour
TOUR PRICES: All prices are charged per person based double-occupancy (two persons sharing a room). Black Heritage Tours is NOT responsible for roommates or matching guests; however, upon request we will let you know if any other requests for identifying a roommate have been made. If none are identified, guests are responsible for the additional cost for single occupancy. All tour prices are billed in U.S. dollars and based on tariffs, taxes, and exchange rates that are in effect at the time of booking. Black Heritage Tours reserves the right to increase tour prices due to fluctuations in tariffs, taxes, or group reductions. These rates are subject to increase without notice.
TOUR PACKAGE: Includes roundtrip transportation via private coach bus from NYC fully-guided tour with professional guide, additional guides/interpreters at select sites; breakfast at the hotel, box lunch and dinner as noted on the itinerary; all applicable entrance fees at the state historic sites and attractions. Not included in the base price – incidental hotel charges while in the room. You will be required to provide a valid debit/credit card upon check-in to cover any incidentals; gratuities for guide, bus driver and hotel staff (15% gratuity, will be added at time of booking); Airfare to NYC or transfers to start of tour at NY Penn Station.
SINGLE SUPPLEMENT: There is an additional $100 for 'single occupancy' applied at the time of booking.
REGISTRATION FORM: This is a custom tour, a completed registration form must accompany the payment, or within 24 hours via with the website or email for confirmation to firstname.lastname@example.org
DEPOSIT & FINAL PAYMENT:
-Full payment is requested at the time of the booking.
-A non-refundable deposit of $250.00 per person is accepted upon request and final payment is due 18 days before the tour.
IDENTIFICATION REQUIRED: All guests are responsible for assuring they have the proper (legal) documents required for hotel check-in. A valid Passport, driver's license or government issued ID card is required.
PAYMENTS: All major credit cards and PayPal are accepted (subject to an additional 3% processing fee); bank transfer (for NL/EU residents only) personal checks are not accepted (Note: your reservation is not confirmed until you payment is received)

AMTRAK 15% DISCOUNT (Restrictions apply): Exclusive URL is available for guests of Black Heritage Tours only; Valid for 15% off the regular (full) adult rail fare. Fares are subject to availability. Advance reservations are required a minimum of five (5) days prior to travel. Valid for travel on the following services: Adirondack, Empire Service, Ethan Allen Express and Maple Leaf. Seating is limited; seats may not be available on all trains at all times. Valid for coach seats only, no upgrades permitted. Other restrictions may apply. Read full Terms & Conditions.
CANCELLATION POLICY: All request for cancellation must be made in writing to Black Heritage Tours. Any deposits are non-refundable. For cancellations, the following per person cancellation fees apply:
30 days prior to departure 50% of total price
29 – 16 days prior to departure 75% of total price
15 – 1 day prior to departure 100% of total price
If a guest cancels within 30 days to departure resulting in a single supplement charge, the guest, who is canceling will be responsible for that additional charge.
NAME CHANGES: No name changes can be made. In order to change participants, your original reservation must be cancelled and a new reservation made reflecting the correct configuration of guests. Any non-refundable deposits paid on the original account will not apply to the new booking. The new booking made will be subject to normal non-refundable deposit requirements.

LIABILITY: Black Heritage Tours does NOT own or operate any entity that provides goods and or services for your travel including, without limitation: lodging facilities, motor coach or other transportation companies, site guide services, food service providers etc. All such persons and entities are independent contractors or companies and not affiliated with Black Heritage Tours. As well, Black Heritage Tours is not liable for any negligent or willful act or failure to act on the part of any travel service provider or any third party. Black Heritage Tours is not responsible for any injury, loss, death, inconvenience, delays or damages to persons or property in connection with the provisions of any goods or services, whether resulting from but not limited to acts of God or force majeure, illness, mechanical or other failure of coach bus, boat, or other means of transportation, or any failure of any transportation mechanism to arrive or depart on time. The tour will continue rain or shine, except in the event of severe weather and not permitted to travel along the highway. If an extended delay is due to weather, flight schedules, or other uncontrollable factors requiring you to spend additional nights, you will be responsible for your own hotel costs, transfer fees and meals costs. Black Heritage Tours is not responsible for lost or stolen items.
BAGGAGE: Due to space restrictions on the coach bus, each guests is allowed one piece of luggage and a carry-on that can fit on board in the overhead or under the seat.
SPECIAL REQUESTS: If you have a special request for a facility or service e. g. adjoining rooms or low floor, we shall pass these on to the hotel, but cannot guarantee that it will be met and we shall have no liability to you if it is not met.
UNUSED SERVICES: No refund will be made for any service included in the tour price that is not utilized by the guest and in the event that the guest does not utilize any part of the scheduled itinerary for any reason whatsoever, such guest shall be responsible at own additional cost for all and any substitute arrangements or transportation back to NYC
CODE OF CONDUCT: For all tours we aim to foster an environment of respect that allows all our guests to enjoy their experience. Guests who are disruptive, endanger the group or the travel experience, or break any laws may be removed from the tour with no refund due and at your own expense. Black Heritage Tours reserves the right to reject any tour guest who violates these conditions.
PHYSICAL REQUIREMENTS: Throughout the tour there is some walking, sometimes on uneven surfaces. Let us know in advance if you have any physical challenges, we will do our best to accommodate you.
CHANGES TO ITINERARY: Black Heritage Tours retains the right to modify the route or sites scheduled without advance notice when necessary due to changes with the site planned, extreme weather conditions, or any obstruction to roads and bridges.
